Encampment

Ensures that all tents, cots and structures are set up. Ensures that all support tents are set up and all equipment has been placed.

Food

Ensures that all food is purchased, prepared and served. Meals include Thursday lunch and dinner. Friday and Saturday breakfast lunch and dinner. Sunday breakfast and box lunch to go. Provides rations for night time needs for dietary special needs

Tent Leaders

Tent Leader Coordinators - Recruits, trains, supervises and schedules tent leaders for the event. Tent leaders - will assist at pickup points on incoming busses. Tent leaders will offer assistance to partipants on encampment opportunities and programs. Tent leaders do not have to stay at encampment 24/7, only about 16 hours a day Thursday afternoon through Sunday noon. Training is provided.

Clothing

Ensures that all clothing is purchased, sized and issued. Tracks costs and issuance. Provides special shoppers for large sizes and for women and children.

Power

Ensures that power is provided at all points needed. Ensures that lighting is up and running in sleep tents and in all other points.

Accounting

Provides ongoing detailed budget information. Assists Director and Assistant Directors in planning and accounting for all purchases, donations, and any other monetary concerns.

Communications

Ensures all telephone, data-communications and two way radio communications are up and running at all times prior to and during the event.

Transportation

Ensures that all external and internal transportation needs are met. This includes scheduling pickups from community sites and scheduling departing from the event site. Additional internal transportation of participants to off site locations (dental, medical, etc.) are met. Provides support for transportation of all other areas of operation of the event.

Safety

Provides security for the event from the initial set up through the final tear down of the event. 24 hour security at the site is to be scheduled and managed continuously.

Military Protocol

Ensures that all visiting military dignitaries are appropriately addressed. Ensures that all activities at the event follow appropriate protocol.

Military Management

Schedules, manages and assigns all duties to all branches of military participating in support of the event.

Hygiene

Procures, stores, distributes and collects all items necessary for maintaining cleanliness at the event. This includes personal hygiene items, showers, trash and recycling.

Registration

Designates pre-registration sites and protocol. Collects pre-registration information from off site locations. Registers participants as they arrive and oversees all incoming protocols (i.e. assignment to tents, collection of personal items, assurance of triage for those in critical situations)

IT

Develops and maintains all computer needs for the event. Works with DVA and other agencies to ensure that service point needs are met throughout the event.

Recycling

Picks up and disposes of all trash and recyclables generated prior to, during and after the event.

Public Relations

Produces and manages all media and other public relations publications. Ensures that all media are contacted with press releases, etc. Ensures that media visits to the event are monitored and appropriate. Produces daily newsletter during the event for distribution to all participants and staff at the event.

Political Relations

Produces and manages all political relations and VIP relations. Ensures that all political bodies are contacted and briefed (if requested) regarding the event. Ensures that political visits to the event are monitored and appropriate.

Volunteers

Gathers names of volunteer staff and assists with assigning to tasks as appropriate. Ensures that volunteers are appropriately briefed before and during the event. Works with all other coordinators to ensure that their needs are identified and met. Ensures that recognition of all volunteers is completed.

Entertainment

Plans and organizes all entertainment for the event and for post event recognition ceremonies.

Health Care

Selects, credentials, prepares and schedules all health care providers from DVA and DoD. Oversees health care at the event. Interfaces and plans with emergency services in support of the event. Interfaces and plans with medical in-patient programs and outpatient programs in support of the event and for after care.

Pet Services/Animal Handlers

Ensures that veteran's pets are transported to and from boarding facilities where they will be cared for during the veteran's stay in the stand down event. Ensures medical treatment, grooming, or vaccinations are available for pets in need of such services.

Recovery

Recruits and trains, schedules and oversees all recovery programs and recovery program personnel on site during the event. Interacts with outpatient and inpatient programs for possible resources as after care for participants.

 

*A VERY IMPORTANT MESSAGE FOR ALL VOLUNTEERS*

The MINIMUM Volunteer Age is 10 years of age; ALL Volunteers under 16 (sixteen) years of age must be under the constant supervision of an onsite responsible Adult when at EBSD.

Closed-toe Shoes are required for safety when at EBSD.
